This week's batch is a short one, three updates that are worth your time. One makes it easier to build automations without opening the workflow builder at all, one lets you send email straight from a filtered list of companies or custom records, and one gives you finer control over who on your team can touch Gift Cards.

As always, every item below covers the same four things: what changed, where to find it, how to use it, and whether it deserves your attention this week.

Build a workflow by chatting with Ask AI

What changed. You can now build a complete automation just by describing it in plain language to Ask AI, without opening the workflow builder first. Ask AI will draft the whole thing, show it to you step by step, and let you talk through changes until it matches what you want. This works inside your account and over WhatsApp.

Where to find it. Look for Ask AI in your account, usually reachable from the main menu or a chat icon on your dashboard. The exact menu location can shift depending on your setup, so confirm where it sits in your account.

How to use it.

  1. Open Ask AI and start a new chat, or message it through WhatsApp if that's connected for your account.
  2. Describe the automation you want in plain language, for example "text new leads back within five minutes and add them to my follow-up list."
  3. Ask AI builds the workflow and shows it to you right there in the chat.
  4. Click on any step to see exactly what it's set up to do.
  5. Tell Ask AI what to change if something isn't quite right, and it will update the workflow for you.
  6. Use the button in the chat to open the finished workflow in your builder.
  7. Run a test there, then publish. Ask AI can draft the automation, but publishing still happens in the builder.

Use case. A service business owner who has been putting off a new automation, like a text-back for missed calls, can describe it in one sentence and have a working draft ready to review in minutes, instead of learning the builder from scratch.

Send bulk email straight from your Companies and Custom Object lists

What changed. You can now send a bulk email to the contacts tied to a group of Companies or Custom Object records, such as Properties, Policies, or Pets, without rebuilding that same list from your Contacts tab first.

Where to find it. Open your Companies list, or the Custom Object you use, select the records you want, and choose Send email from the bulk action options.

How to use it.

  1. Go to your Companies list, or the Custom Object you use for your business, such as Properties or Policies.
  2. Filter or search until you see the group of records you want to reach.
  3. Select those records using the checkboxes.
  4. Click Send email from the bulk action menu.
  5. If you're working from a Custom Object, choose which associated contacts should receive the email: the most recent one, the earliest one, or everyone tied to that record.
  6. Write your email with Quick Compose, Smart Builder, or a saved template, and pull in Company or Custom Object fields to personalize it.
  7. Send it now, schedule it, or send it in batches.
  8. Check how it did under Bulk Actions, or under Marketing, Emails, Bulk Action Campaigns.

Use case. A business tracking Properties as a custom object can filter listings by city or status and email everyone connected to those properties in a single send, instead of manually rebuilding that audience from the Contacts tab.

Set exact staff permissions for Gift Cards

What changed. You can now decide exactly what each team member is allowed to do with Gift Cards, rather than giving everyone on staff the same level of access.

Where to find it. Settings, My Staff, select the team member, click the edit icon, then Roles & Permissions, then Gift Cards.

How to use it.

  1. Go to Settings and click My Staff.
  2. Select the team member whose access you want to adjust.
  3. Click the edit icon next to their name.
  4. Open Roles & Permissions and find the Gift Cards section.
  5. Turn on only the specific actions that person needs, such as viewing orders, sending gift cards, or seeing a full gift card code.
  6. Save your changes.

Use case. A business owner who wants a front desk team member to send gift cards to customers, but not see the full gift card code or deactivate anyone else's card, can now set access up that precisely.

Describe one automation to Ask AI instead of building it by hand. It shows you the whole workflow before you commit to it, so you can catch a wrong step before it ever runs.

The blue circle in the corner of your screen sits in the bottom right of your account and opens the knowledge base right where you are. Inside, you can search for help to look something up, or ask a question to send one through. It follows you across every screen.

Your client portal and systems library hold the deeper material: walkthroughs and resources built for your account. You can find it at your client portal.
