What's New in Your Account: The First One

Watching this platform is part of what we do for you. When something ships that touches your account, or when a deadline shows up that you need to act on, you hear from us. That hasn't changed.

What's changing is how much of it you get to see. Instead of hearing only about the items that need you personally, you now get the full picture every Saturday. Everything that shipped, filtered down to what your account can actually use, written out in steps you can follow yourself.

Every item covers the same four things: what changed, where to find it, how to use it, and whether it deserves your attention this week. It all lives here permanently, so you can come back to any of it whenever you need it.

Today is the soft open

We're catching you up on everything worth knowing from the past two weeks. Saturday the real cadence starts, covering the previous seven days, every week, without fail.

You have until September 15 on this one

If you plan to register a toll-free number for text messaging, the verification form now requires two things it never asked for before: a link to your Privacy Policy and a link to your Terms & Conditions. Both are mandatory. After September 15, carriers reject any submission without them.

Where: Settings, then Phone Numbers, then the toll-free verification form. The new fields sit on Step 3, under Messaging use case, just below your opt-in screenshots.

Do this before you start the form: open your website and confirm both pages exist and load. Copy the full URL of each one. If either page isn't published yet, build it first. The form won't accept a broken link, and a rejected submission means going back to the beginning.

Already verified numbers aren't affected. This applies to new submissions only.

Your AI assistant can keep business hours now

The biggest change in this batch

Until now your Conversation AI agent answered around the clock or not at all. That's fine until a customer messages at 11pm, gets a confident AI answer, and books something you can't honor. Now you set the hours.

What you can set up:

  • Working days and hours per agent, with multiple time slots for breaks or split shifts
  • Which channels follow the schedule. SMS and email can keep hours while your chat widget answers all night
  • Whether the schedule runs on your timezone or on each contact's local time
  • An off-hours auto-reply in your own words, so late messages get acknowledged instead of ignored
  • Email alerts to you or your team when something comes in after close
  • Automatic tags on after-hours contacts, so you can filter and follow up on them as a group
  • An automatic follow-up when you reopen, skipped if the person already got an answer

Try this: set your agent to your real hours, write an off-hours reply that says you'll respond first thing, and turn on the tag. Within a week you'll know exactly how much business is arriving after you've closed. Most owners are surprised by that number.

A few things to know: a conversation that started during working hours keeps going after close until it goes quiet. The auto-reply fires once per closed period rather than on every message. And you can still switch an agent on manually outside its hours whenever you want.

Leave Working Hours off and nothing changes. Your agent runs exactly as it does today.

Your phone system got two upgrades

Transfer a call to someone who has no business phone number

You can now transfer a live call from the mobile app to any staff member, even one without a phone number assigned to them. The call rings every device they've set up at once: web app, mobile app, desk phone, and SIP.

How: during an active call, tap the transfer icon at the top right. Open the Staff Members tab and pick someone. The device types they can receive on show next to their name. Tap Call and Hold to speak to them first, or Transfer and End to hand it straight over.

The person receiving it sees who sent it. On iPhone the banner reads the caller's name followed by "via" and your name. One limit: you can't re-transfer a call that was already transferred to you.

Missed call text-back stopped failing quietly

Your automatic text after a missed call used to always send from the exact number the person dialed. Some numbers can take calls but aren't cleared to send texts, so the follow-up just never went out and nothing told you. Now the system tries that number first and falls back to one that can send.

Nothing to turn on. Worth knowing: your text may now arrive from a different number than the one they called. That's deliberate. If no number can send at all, you'll see the failed attempt in the conversation with the reason attached instead of silence.

Who this matters to: anyone running call tracking numbers on ads. Those numbers usually can't text, so every missed call from an ad went unanswered. Those people now get your follow-up from your main line.

Your workflows can see images and make them

Two new actions landed under AI Actions in the workflow builder. Both are worth knowing about. Both cost money per use, so read the warning before you build anything on them.

Analyze Image: your workflow can read a picture

Hand it an image link and a question, and it answers in text. Pull the numbers off a receipt. Read an invoice. Describe what's in a photo a customer sent you. Whatever comes back can go into a custom field, an email, a text, or off to another step.

The image link has to be public and it has to point at the image file itself rather than a page containing it. Anything in your Media Storage already qualifies.

Generate Image: your workflow can create one

Describe an image and the workflow produces it, saves it to Media Storage, and hands back a link the next steps can use. Attach it to an email, post it to social, save it to a field. Because the description can pull from your contact data, one workflow can produce a different image for every single person in it.

There are starting templates for product mockups, social posts, promo flyers, and lifestyle shots, and you can apply your Design Kit and Brand Voice so the output stays on brand.

Both of these are premium actions

These carry a charge on every execution, so build one and test it on a few contacts before you point it at a large list.

One more thing worth flagging: generated images sit at a public link anyone can open. Keep that in mind if your prompt pulls in customer information.

Protect your email reputation with sending domains

Every workflow in your account used to send from the same domain. Now you pick the domain workflow by workflow, and this is the update we'd push you toward hardest.

Where: open any workflow, click Settings, find Sender domain under Sender details. Don't see it? You don't have a verified dedicated domain yet. Add one under Email Services, then Dedicated Domains, and the dropdown appears.

Why it's worth twenty minutes: put your reminders, confirmations, and receipts on one domain and your promotions and cold outreach on another. When a promotional send picks up spam complaints, the damage stays on that domain. Your appointment confirmations keep landing in the inbox. One bad campaign used to be able to drag your entire email reputation down with it.

One catch: a sender address set inside an individual email step beats the workflow setting. Check your steps if the address isn't behaving.

Quick hits

Workflow value chips now warn you before something breaks

Those merge fields in your workflows used to be either valid or broken. There's a third state now. Blue means the value works here. Yellow means it's real but nothing in this workflow fills it, so it'll come through blank. Red means it doesn't exist anywhere. Yellow is the useful one, because a blank in a customer email is the error you never catch until someone points it out.

Client portal login trigger works with the new portal

If you use the client portal for courses or memberships, the "User login" workflow trigger now fires correctly on the current version. Worth rechecking any automation you built on it.

You can finally delete an old saved card

Saved payment methods can be removed instead of sitting there forever. Add the new card before deleting the old one so nothing lapses.

New templates in the library

A website template, a funnel, an email, four social posts, and a workflow template for renewal reminders. Plus new ad templates for Facebook, Google, and LinkedIn. If you've been avoiding building something because a blank screen is intimidating, start there.

If you do one thing this week

Split your sending domains. Twenty minutes, and it protects the emails your business depends on from the emails your business experiments with.

If toll-free texting is anywhere in your plans, do that one first. September 15 isn't negotiable.
